What is collected, why, how long it is kept and who can see it. Written to be read rather than skimmed past, because confidentiality is the reason most people hesitate before booking.

Who this policy covers

This policy applies to the private practice of Ms. Mansi Tanna, Clinical Psychologist (RCI Licensed), Rehabilitation Council of India registration number A105936, operating at Wockhardt Hospitals, Kalawad Road, Rajkot, and online. It covers this website and the clinical service delivered in person and by video.

Ms. Tanna is the data fiduciary for the information described here. Questions about anything in this policy can be sent to hello@mansitanna.com.

Information collected when you enquire

If you message on WhatsApp, call, or send an email, the practice receives your name, phone number or email address, and whatever you choose to write. This is used only to arrange the introductory call or an appointment.

Please do not send detailed clinical information over WhatsApp, Instagram or email before your first session. Those services are operated by third parties under their own privacy terms, and the practice cannot control how they store messages. They are used for scheduling only.

Information collected when you become a client

Once therapy or assessment begins, records may include:

  • Identifying details: name, age, contact details and an emergency contact
  • Relevant history: presenting difficulties, developmental, medical, psychiatric and family history, current medication
  • Clinical notes made during or shortly after each session
  • Scores and interpretations from any questionnaires or standardised psychological tests administered
  • Assessment reports, correspondence and referral letters
  • Dates of appointments and a record of payments

This information is collected because competent clinical work is not possible without it. You are not obliged to answer any particular question, and you can say that you would rather not discuss something.

How your information is used

Your information is used to assess your difficulties, plan and deliver therapy or assessment, prepare reports you have asked for, arrange appointments, take payment, and meet the professional record-keeping obligations that apply to a registered clinical psychologist.

It is never sold. It is not used for advertising, and it is not shared with any third party for marketing of any kind.

Confidentiality and its limits

What you say in session stays in session. Your attendance and your records are not disclosed to family, employers, insurers or anyone else without your written consent. There are four narrow exceptions, and they are explained to you in the first session before you share anything:

  • Serious risk to your life. Where there is a real and immediate risk of you seriously harming yourself, the minimum necessary information may be shared with an emergency contact or emergency services.
  • Serious risk to another person. The same applies where someone else is at risk of serious harm.
  • Risk to a child or vulnerable adult. Where a child or a vulnerable adult is being harmed or is at risk of harm, disclosure may be legally required.
  • A lawful order. Where a court or another legally empowered authority orders disclosure.

Wherever it is safe and practical to do so, you will be told before anything is disclosed, and only the minimum necessary information is shared.

Clients under 18

For clients under 18, consent is obtained from a parent or guardian, who has a legal right to certain information. In practice, what will and will not be shared is agreed openly with the young person at the start, because therapy rarely works if an adolescent believes everything is being reported home. Parents are given the information they need to support their child rather than a transcript of sessions.

Where clinical supervision fits in

Like all responsible practitioners, Ms. Tanna discusses clinical work in professional supervision, which is a requirement of good practice rather than a breach of it. Cases are discussed in a form that does not identify you, and supervisors are themselves bound by confidentiality.

How records are stored and for how long

Records are kept securely. Paper records are held in locked storage and electronic records on password-protected, encrypted devices with access limited to Ms. Tanna. Records are retained for the period required by professional and legal obligations, generally a minimum of three years after your last appointment, and longer where a client was a minor or where a report may be needed later. After that period they are securely destroyed.

Online and video sessions

Video sessions are conducted on a mainstream, encrypted video platform. Sessions are not recorded, by either party, unless there is a specific clinical reason and you have given written consent. Please do not record a session without agreement.

You are responsible for privacy at your end. Taking a session where you can be overheard is a common practical difficulty; options for handling it are discussed on the online therapy page and can be raised on the introductory call.

Payments

Payments are made by UPI or bank transfer directly to the practice. Card and UPI details are handled by your own bank or payment provider and are never seen or stored by the practice. What is kept is a record of the amount and date, which is required for accounting purposes.

This website

This website does not use advertising cookies, does not run behavioural tracking and does not build a profile of you. Standard server logs may record technical information such as IP address, browser type and pages requested, which is used only for security and to keep the site working.

The Rajkot clinic and contact pages embed a Google Maps frame, and the site loads fonts from Google Fonts. Both are third-party services with their own privacy policies, and loading them may make your browser known to Google. There is no contact form on this site; enquiries come by WhatsApp, phone or email, so nothing you type here is transmitted to the practice.

Your rights

You may, at any time:

  • Ask what information is held about you
  • Request a copy of your records, or a summary where a full copy would not be clinically appropriate
  • Ask for factual inaccuracies to be corrected
  • Withdraw consent for information to be shared with a third party
  • Ask for records to be deleted, subject to the retention obligations above
  • Raise a concern about how your information has been handled

Requests should be sent to hello@mansitanna.com and are normally answered within thirty days. Where a request cannot be met in full, you will be told why.

Complaints

If you are unhappy with how your information has been handled, please raise it directly first, on +91 90818 55755 or by email. If the matter remains unresolved, a complaint about a registered clinical psychologist can be made to the Rehabilitation Council of India, quoting registration number A105936.

Changes to this policy

This policy may be updated as practice or law changes. The date at the top of the page shows when it was last revised. Material changes affecting existing clients are communicated directly rather than only posted here.
